Migration & implementation

Bring the history. Leave the system sprawl behind.

Switching operating systems should not mean abandoning institutional memory. CauseWorkHub Migration is a controlled, staged path from exported records and files into one nonprofit-owned Hub—with mapping, validation and human sign-off before cutover.

Migration is part of the product

You should not have to start over to move forward.

CauseWorkHub is being built to receive the nonprofit’s existing people, organizations, relationships, programs, work, grants, governance records, documents and operating history through governed imports. Migration preserves source and provenance instead of pretending imported information was collected inside CauseWorkHub.

The destination is one connected operating record.

We do not migrate disconnected chaos merely to reproduce it. We inventory each source, map what the data means, resolve duplicates deliberately, apply the right permission boundary, validate the result and produce a cutover record the nonprofit can actually review.

Structured migration scope

Move the records that make the organization run.

Migration begins with supported exports—not hidden access to a vendor account. The launch framework prioritizes common CSV and spreadsheet exports plus organized file collections, then maps them into the correct CauseWorkHub workspaces.

People & organizations

Contacts, donors, supporters, businesses, households, relationships, source and communication preferences.

Programs & cases

Program structure, participants, case ownership, statuses, service history and appropriately classified notes.

Funding & grants

Funders, awards, restrictions, deadlines, deliverables, responsible people and supporting evidence.

Governance & HR

Board and worker identities, roles, terms, policies, meetings and records—with separate permission treatment.

Work & projects

Projects, assignments, milestones, meetings, calendars and accountable follow-through.

Files & evidence

Documents are classified, checked and placed into the private Vault rather than copied into Media Library.

QuickBooks remains QuickBooks. CauseWorkHub migrates the operational context around accounting—grants, approvals, restrictions, receipts and outcomes—without pretending to become the general ledger.
A deliberate path

Inventory. Map. Rehearse. Verify. Cut over.

The first import is never the production cutover. Migration is rehearsed in a controlled environment so the organization can see what moved, what changed and what requires a decision.

01Source inventoryList systems, exports, owners, record counts, date ranges and retention requirements.
02Data mappingMap source fields, identifiers, statuses, relationships and provenance into Hub structures.
03Staged importRun a rehearsal without replacing or destroying the source material.
04Role reviewTest what executive, staff, board, HR, volunteer and program roles can see.
05Approved cutoverImport the final delta, reconcile totals and record organizational acceptance.
Trust requires evidence

A successful import is proven—not assumed.

Validation compares the source package with the imported result. Exceptions remain visible for correction instead of disappearing inside a reassuring “completed” message.

  • Source and imported record counts
  • Required-field and relationship checks
  • Duplicate and merge decision log
  • Rejected-row exception report
  • File count, size and integrity verification
  • Role and visibility acceptance tests
  • Financial-context reconciliation
  • Named organizational sign-off
Launch without a blind jump

Cutover has a clock, an owner and a way back.

The organization chooses the transition window. Source systems remain unchanged during rehearsal. The final plan identifies the record freeze, last export, final delta import, user activation, support window and the conditions that would pause or reverse launch. Original export packages remain under the nonprofit’s control according to its retention decision.

Before

Clean source exports, confirm owners, define the freeze and approve the mapping.

During

Run the final import, reconcile results, activate roles and verify critical workflows.

After

Monitor exceptions, close gaps, preserve the migration report and retire sources deliberately.

Honest launch boundary

The framework is committed. Each source still earns its mapping.

CauseWorkHub will not promise a magical one-click import from every vendor. Export formats differ, source data is often inconsistent and sensitive records require organization-specific decisions. The launch build is completing the reusable mapping, validation and migration-report workflow; each nonprofit’s actual migration plan is approved before production data moves.
